Delegation is the process of assigning the responsibility to another person to carry out job-related activities. It can also be a shift in decision-making authority from one organizational level to another. Delegation helps in reducing stress and improving time management and improving the trust between the managers and the subordinates.
Delegation of work also increases teamwork, productivity, and efficiency of the employees. It leads to knowledge and skill development. It helps employees to have elevated self-esteem, confidence and sense of achievement. Delegating can be very effective when the employee has experience and knowledge of the task which he/she is being assigned to. In the situation where the supervisor or manager has a high priority task which needs attention and time, the low priority task can be delegated to others to ensure that work is being done efficiently and within the deadline.
Delegating tasks to subordinates helps in training them regarding different tasks. It is important to check the workload of the employee before delegating the task. Also, the supervisor should understand the strengths and weakness of the employee and then delegate the tasks which work on his/her strengths.
Training on delegation can include multiple things like telling the ways to delegate effectively, how to politely communicate that the employee has to do that particular task, steps of delegation, how to ensure that employee is satisfied with the task and is able to do that, ways to avoid micromanagement, etc.
Explaining the steps of delegation to trainees will help them understand that concept in a better manner and then they can do that effectively. Firstly, the task should be introduced to the employee by the supervisor. Then the supervisor should demonstrate clearly what needs to be done and ensure that the employee has understood the task. Then the next step would be to ensure that supervisor allocates authority, information, and resources.
In the end, the supervisor should support and monitor the employee. He/she should make sure that employee can do the task without facing many problems.
Another aspect of the delegation that should be delivered during the training should be the obstacles in the delegation. If trainees know about the obstacle, they will be prepared and can avoid such situations. Some of the obstacles can be a lack of support from managers after the work is delegated. Moreover, failing to plan the task well can also become a challenge.
As delegation is a series of steps, if not planned properly can lead to incompletion of work which in the end diminishes the whole point of delegating a task. Lack of communication between the manager and employee regarding work can become a challenge. Micromanagement can be another major obstacle in delegating the task. Micromanagement takes place when a manager assigns a task but prevents the employee to complete the task independently. This leads to a delay in completion of the task. It is important to avoid micromanagement in order to make the best use of delegation.
